Manuals & Documents¶
The Manuals & Documents hub is the central place to store company knowledge files — manuals, SDS sheets, certificates, policies, and more — and associate each file with one or many Parts, Assets, Jobs, or Clients. Organise files into nested Folders, and switch between List and Folder views.
Opening the Hub¶
Go to Manage → Manuals & Documents (permission: Manage Manuals).
Use the List / Folders toggle in the page header to switch views. Your preference is remembered in the browser.
List View¶
The list uses a scrollable frame with a sticky header (same pattern as Assets and Parts):

Use the filter bar to search by title/filename, filter by type, folder, or association (Asset / Part / Job / Client / Company), and sort.
Folder View¶
Folder View shows a nested tree (expand / collapse), similar to a file explorer:
- Create root folders with + New Folder
- Open a folder’s ⋯ menu to add a subfolder, rename, move, delete (must be empty), or upload into that folder
- Documents appear under their folder with a file-type icon; Unfiled holds documents with no folder
- Drag and drop a document onto another folder (or onto Unfiled). If several are checked, dragging one of them moves the whole selection
- Or use checkboxes + Move selected…, or Move on a single row
- Click a document to preview; use Edit from the preview or row actions
Folders can be nested up to five levels deep.
Upload a Document¶
- Click + Upload Document.
- Choose a file (max 25 MB).
- Set Title and Document Type.
- Choose a Folder (or leave Unfiled). You can create a new root folder from the link under the Folder field.
- Optionally add a description.
- Under Associate With, use the type tabs (Parts / Assets / Jobs / Clients) and search box to add as many links as you need. Leave empty for a general company document (or click + Company).
- Set Visibility (which user types can see the document in Manuals on web and mobile).
- Click Upload Document.
One SDS can be linked to every Spray Paint Can part in your register — upload once, associate many times.
Edit, Replace, or Delete¶
Click Edit on a row (or from Folder View):
- Change title, type, description, visibility, and folder.
- Replace file optionally (leave blank to keep the current file).
- Add or remove associations using the same search-and-select control.
- Delete soft-removes the document from the hub (associations are cleared from the live list).
Documents on Asset / Part / Client Pages¶
Each Asset, Part, and Client still has a Documents tab for convenience. Uploads there go into the same Manuals hub and are linked to that entity. You can open Manuals & Documents to put them in a folder and add further associations.
Job Documents tabs for purchase invoices / OCR remain separate — those are not knowledge manuals.
Mobile App¶
Documents appear in the app Manuals browse list according to visibility. Association text is shown so operators can see which Parts/Assets the file relates to. Folder browsing in the mobile app is not required for this release.
Tips¶
- Prefer uploading shared documents (SDS, manuals) in the hub and associating many Parts, rather than uploading the same PDF on each Part.
- Use folders for location or topic (e.g.
Material Safety Data Sheets / Garage). - Use clear titles (e.g.
SDS — Spray Paint Grey) so search works well in List View. - Hover Associated To on the list to audit coverage without opening Edit.
